The University of North Carolina at Charlotte is seeking applications for a Business Services Coordinator for the Graduate School. This is a full-time, permanent staff position. 

Purpose of the Position: This position coordinates the business services operations within the Graduate School, under the supervision of Graduate School’s Business Officer. In addition, this position will also support administrative processes related to the sub-units within the Graduate School: Graduate Admissions/Funding; Graduate Academic Affairs; the Center for Graduate Life; and the Dean’s Office. These activities include, but are not limited to, fund management and reconciliation; budget reporting; eProcurement; inventory control; and other priorities/projects as assigned by the Business Officer or the Dean. This position is seen as having a key role for the facilitation of communication and for the analysis/dissemination of financial information within the Graduate School.

Salary: $40,306 - $47,000

Minimum Qualifications: Bachelor’s degree in business administration or a related discipline; or an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

Essential Job Duties:

The Business Services Coordinator serves as the main point of contact for Graduate School units and staff on purchasing, reimbursement, and travel-related policies and procedures. Duties for this position include:

  • Management of the reconciliation process for all Graduate School funds (including general, institutional trust funds, and discretionary funds).
  • Supports the Business Officer on the monthly and year-end closeout process and prepares FTRs to facilitate that process.
  • Maintains accurate records that document transactions involving Graduate School funds.
  • Works with the Business Officer to reconcile, report and electronically process daily eCommerce deposits.
  • Supports purchasing requests for the Graduate School units, and serves as a back-up to the support position for all other Graduate School units.
  • Supports the Graduate School’s Business Officer in the administration of inventory control processes and procedures for all five business units within the Graduate School, including the surplus process.
  • Assists the Business Officer with special projects and tasks on an ad-hoc basis.
  • Processes student appointments.

Preferred Qualifications:

  • Bachelor’s degree (business or accounting preferred).
  • 5 years working experience.
  • Experience with University systems and procedures, including 49er Mart, BOA Works, Banner Finance, payment request forms, and eGA.
  • Experience with fund management in a public organization, with a preference for higher education experience.
  • Experience researching complex financial information and providing detailed analysis.
  • Intermediate-level Excel skills.
