JOB SUMMARY

The Department of Kinesiology at the University of Connecticut is seeking a dynamic and team-oriented individual with creative energy to contribute to a culture that values community, inclusion, excellence, and strategic growth. This position requires an individual with administrative skills and the desire to contribute to business operations, as well as the ability to collaboratively work with members of the administrative team. The successful candidate will be open-minded, efficient, process-oriented, organized, and customer service driven. The successful candidate will serve as a departmental, faculty, and student resource with responsibilities including: facilities management, fiscal processing, (e.g., payroll, travel, reimbursements), purchasing, special event planning, department communications, and administrative support for the Department. Temporary student employees report to this position.

DUTIES AND RESPONSIBILITIES

  • Serves as the initial point of contact for the main departmental office, providing customer service support to faculty, students, staff, and visitors.
  • Facilitates inquiries from central offices.
  • Provides administrative support to Department Head and faculty (calendaring, event planning, registrar, and scheduling).
  • Assists the Department Head regarding interdepartmental communications.
  • Provides financial support to the Department, including running reports and processing transactions in Kuali Financial System.
  • Responsible for purchasing, including Procard purchases, and maintaining all associated records.
  • Responsible for MarketPlace order fulfillment for department entrepreneurial services.
  • Communicates gift receipts to donors for the Department received through Foundation funding, processes RFD and transfers through the Papersave system.
  • Processes human resource and payroll functions of department personnel including faculty, staff, student workers, special payroll employees, graduate assistants, and gratis appointments (offer letters, dual employment forms, payroll authorizations, timecards).
  • Assists the Department Head and faculty with activities related to Promotion, Tenure, and Reappointment.
  • Supervises and provides support to undergraduate student workers, including the hiring process and coordinating schedules.
  • Assists in developing and distributing communications/marketing for the Department and its programs.
  • Maintains facility needs/issues for Gampel Pavilion; including requesting access to labs for faculty, students, and staff.
  • Performs related duties as required.

MINIMUM QUALIFICATIONS

  1. Associate's degree and two to three years of related experience or an equivalent combination of education and experience.
  2. Excellent interpersonal skills and the ability to effectively communicate verbally and in writing.
  3. Strong organizational skills with demonstrated attention to detail.
  4. Strong customer service skills.
  5. Working knowledge of Microsoft Office applications.
  6. Experience with processing transactions (e.g., payments, travel reimbursements, and/or other travel and accounts payable experience).
  7. Demonstrated experience working in a high-volume, fast-paced, team-oriented environment.

PREFERRED QUALIFICATIONS

  1. Bachelor's degree in accounting, finance, business operations, or a related field. 
  2. Knowledge of basic accounting principles and solid math skills in order to calculate accounts payable functions and reconciliations. 
  3. Ability to identify and resolve problems efficiently, effectively, and independently. 
  4. Experience with learning new computer software. 
  5. Demonstrated experience using software, such as Concur & Huskybuy, and knowledge of Kuali Financial Systems. 
  6. Strong audit, analytical, and problem-solving skills.
  7. Demonstrated experience managing schedules, calendaring, and event planning.
