Administrative Assistant - Minneapolis
St. Catherine University welcomes applications for a full-time Administrative Assistant position that will support two senior leadership team members, the Senior Vice President for Human Resources, Equity & Inclusion, and the Senior Vice President for Enrollment Management & Athletics.

As the first point of contact, the Administrative Assistant represents both division leaders in a respectful and professional manner to internal and external constituents.
Responsibilities:
- Assist each SVP in coordinating large amounts of information, requests, and competing priorities, leveraging technology and exercising discretion and a high degree of confidentiality.
- Manage a variety of complex and competing demands for two active leaders, providing day to day support.
- Prepare for meetings, record and transcribe minutes at selected meeting groups, summarize meeting feedback and proofread documents as needed.
- Direct calendar management, using independent decision making in managing timing conflicts and priorities and finding mutually available times for various groups to meet
- Organize, coordinate, plan, and support individual, department and university meetings and events by securing space and equipment, ordering food, preparing invitations and announcements, creating agendas and information packets, managing billing and processing payments.
- Proactively review the SVP's schedules and ensure materials needed for upcoming meetings are prepped and provided.
- Provide online technical support for video conference meetings, phone conferences, interviews, etc.
- Organize and maintain paper and electronic filing systems, initiating recurring administrative processes, coordinating projects, and assisting in the completion of reports by researching and gathering required information and preparing reports.
- Accurately prepare and submit monthly expense reports.
- Manage select administrative budgets, process invoices, and maintain vendor agreements.
- Manage snail mail, email, phone calls and meeting requests, screening for urgent issues and engaging contacts as helpful to gather information and respond to questions.
- Demonstrate initiative to anticipate needs and create solutions that are efficient, effective, and professional.
- Coordinate the quarterly updates of the HREI division's strategic plan.
- Coordinate collection and submission of materials for Board of Trustees meetings
- Coordinate interviews and communications for HR investigations with the investigator, the designated HR representative and any other constituents.
- Collaborate with the other Senior Leadership Team Assistants and with Administrative Assistants throughout the University.

Minimum Qualifications
- Experience with office management, meeting and event planning and problem-solving
- Experience managing a wide variety of tasks and projects, operating under tight timelines
- Experience creating a warm and professional welcome to all who interact with these executive leaders
- Experience drafting and proofreading respectful and professional correspondence to internal and external customers and constituents
- Experience calmly and successfully serving dissatisfied customers
- Expert use of Microsoft Office software
- A history of successful collaboration with partners across a business who all come from a variety of backgrounds and experiences
- Proven ability to work with confidential matters
- Ability to work collaboratively with multiple teams, with senior leaders and executives
- Capable of exercising a high degree of independent judgment to resolve problems and prioritize work
