Advancement Assistant

Reports To: Assistant Head of School
Solebury School seeks a dedicated and experienced person to serve in a full-time, twelve-month position as our Advancement Assistant. This is a 40-hour, five-day per week position, reporting to the Assistant Head of School, helping to advance the mission of Solebury School as a member of a small, dynamic team of fundraising and communications professionals. Time is split between the Advancement Department (60%) and the Front Desk (40%).
Duties include:
- Provide administrative support for a variety of development operations including annual giving, volunteer relations, major gifts and communications/public relations
- Provide front-desk coverage and serve as primary back-up for Receptionist’s vacation/personal time, operating a multi-line phone system, providing information and assistance to callers and visitors in the Main Office
- Assist with Donor Data Entry by entering constituent information changes, coding philanthropic gifts and generating accurate and appropriate acknowledgement letters in Generations and keeping contact information current in our Alert system database
- Perform various administrative functions including ordering supplies for office and for events, mail merges, keeping public spaces organized and looking their best; coordinate meeting logistics and travel arrangements for the department; manage and maintain meeting tracking mechanisms
- Support the mission and vision of Solebury School
- Perform other duties as assigned by the Assistant Head of School
Qualifications:
- Polished oral, written, telephone and email communication skills
- Professional demeanor, flexible and able to respond to multiple demands
- Knowledge of administrative and clerical procedures as well as customer service principles and practices
- Demonstrated strong interpersonal and organizational skills with the ability to relationship-build and handle multiple concurrent projects are required
- Ability to work independently and as part of a team
- Fluency with the Google platform (Mail, Docs, Keep, Meet, Drive, etc) and Microsoft Office including Excel, Word, PowerPoint, as well as experience with mail merges, name tag creation and web research
- Experience with a relational fundraising or POS database a plus, but not required
- Demonstrated attention to detail, accuracy and deadlines
- Must have auditory, visual, and physical skills to be able to perform tasks as outlined in this job description
- Some weekend/evening work may be needed with advance notice
