JOB GOAL: The Board Clerk provides care and custody of the records, books,
and documents of the Board of Education to ensure efficient and lawful operation
of the school district. The Board Clerk must work closely with the Board of
Education, Superintendent, staff and administration.
ESSENTIAL FUNCTIONS:
 Attend all meetings of the Board of Education and keep an accurate record of
proceedings.
 Provide care and custody of the records, books and documents of the Board
of Education.
 Prepare and submit to or for the Board of Education all reports required of
him or her by the Board of Education and by law.
 Accept service of process of all notices and legal documents as required by
law.
 Perform all other duties as required by law.
 Notify Board of Education members of upcoming meetings, activities and
school functions.
 Prepare and organize agenda materials for Board of Education meetings,
including distribution to Board members, administrators, school sites and local
newspapers.
 Post agenda, approved minutes and meeting information on district web site.
 Obtain, gather, and organize pertinent data, putting it into functional form.
 Maintain a regular filing system, including confidential files.
 Schedule appointments and make arrangements for conferences and events
for Board of Education members.
 Inform Board of Education members of pertinent information through weekly
newsletter and telephone communication when circumstances require
immediate notification.
 Assist in the organization of the yearly District retreat involving the Board of
Education, District administrators, staff and patrons.
 Maintain current Notary Public license.
 Distribute updates in Board Policy to Board members, District departments
and school sites.
 Provide support in the publication of District documents. (i.e. the Calendar,
the Classified Handbook, and the Negotiated Agreement.)
 Respond to information requests in a cooperative, courteous, and timely
manner.
 Keep student and personnel information and records confidential.
 Ensure confidentiality relating to all functions of the position.
 Ensure all activities conform to district guidelines.
 Communicate and work effectively and cooperatively with members of the
school district and community

QUALIFICATIONS:
 Associates degree or higher education preferred
 Minimum of 2-3 years of experience as an Executive Assistant
 Experience working in a Kansas School District
 Experience with Board Docs or another On-line platform
 Ability to work some nights and weekends
 Demonstrated computer and filing skills; must pass spelling, math and typing
(60 wpm) tests
 Proficiency with Microsoft Suite (specifically Word and Excel) and desktop
publications
 Desire to continue career improvement by enhancing skills and job
performance
COMMUNICATION / ORGANIZATION:
Speak clearly and concisely in written and oral form.
Maintain communication with all constituents including district staff.
Utilize existing technology effectively in the performance of duties.
Organize work efficiently in order to support the mission and vision of Kansas
City, Kansas Public Schools.
REASONING ABILITY: Ability to solve practical problems and deal with a
variety of concrete variables in situations where only limited standardization
exists. Ability to interpret a variety of instructions furnished in written, oral,
diagram, or schedule form.
LANGUAGE SKILLS: Ability to read, analyze, and interpret general business
periodicals, professional journals, technical procedures, or governmental
regulations. Ability to write reports and business correspondence. Ability to
effectively present information and respond to questions from internal and
external sources.
MATHEMATICAL SKILLS: Ability to calculate figures and amounts including but
not limited to discounts, interest, commissions, proportions, and percentages.
PHYSICAL DEMANDS: The physical demands described here are
representative of those that must be met by an employee to successfully perform
the essential functions of this job. While performing the duties of this job, the
employee is frequently required to sit; use hands to finger, handle, or feel; reach
with hands and arms; talk and hear. Generally, the job requires 75% sitting, 15%

walking and 10% standing. The employee must occasionally lift and/or move up
to 20 pounds. Specific vision abilities required by this job include close vision,

distance vision, and ability to adjust focus.

WORK ENVIRONMENT: This job is performed indoors in a generally clean and
healthy climate controlled environment. The noise level will generally be quiet
with occasional necessity to work in noisy and crowded environments with
numerous interruptions.

working relationships with all constituents including district staff. Ability to
maintain professionalism and respond appropriately in all situations.
TERMS OF EMPLOYMENT: 261 DAYS PER YEAR
RATE OF PAY: Based on KCKPS Pay Schedule
FLSA STATUS: EXEMPT
REPORT TO: USD 500 Board of Education
EVALUATION: Performance of this position will be evaluated in accordance with
the provisions of the Board's policy.
