Secretary II
Under direction, performs various complex clerical duties. Prepares schedules for performance of department business by others, responds to inquiries for information from the public requiring thorough knowledge of departmental policies, and coordinates inter-departmental communications.
Knowledge of:
- Basic office practices, formats, and the maintenance of complex records
- Mathematical computation
- English language to include grammar, spelling, punctuation, sentence structure and vocabulary skills
Ability to:
- Learn, apply, and articulate departmental policies and procedures
- Represent Johnson County and perform duties in a professional, responsible and trustworthy manner
- Perform clerical tasks with a high degree of speed and accuracy
- Maintain confidentiality and security of information as appropriate
- Make decisions requiring interpretation and judgment
- Follow oral and written instructions
- Collect data, keep accurate records, and prepare reports
- Make bookkeeping entries and complete business forms
- Be detail-oriented when working with documents and information
- Operate common office equipment such as typewriters, calculators, cash registers, fax and postage machines, photocopiers, multi-line telephones, and scanners
- Type 55 wpm and use a computer for the purposes of data entry, spreadsheets, word processing, presentations, email and the Internet
- Communicate effectively both orally and in writing
- Provide customer service that is courteous and responsive
- Establish and maintain effective relationships with elected officials, department heads, other county employees, and members of the public
- Interact effectively with persons representing widely divergent backgrounds, interest, and points of view
- Organize and prioritize multiple tasks
- Handle moderate levels of stress, meet deadlines and solve problems appropriate to the position
- Stand, sit, squat, kneel, bend, twist, reach, and use a step stool as needed
- Lift and/or move up to 35 pounds as needed
- Have clarity of speech and hearing which permits effective communication
- Have sufficient vision which permits heavy production and review of a wide variety of materials in both electronic and hardcopy forms
- Have sufficient manual dexterity to make handwritten notations and which permits moderate to heavy use of keyboards and mouse
- Work flexible schedule and occasional overtime as needed
Minimum Education, Training and Experience:
- High school graduate (or equivalent) AND two (2) years of varied and responsible clerical work OR any equivalent combination of education and experience that provides the required knowledge and abilities.
Special requirements: Valid driver’s license and insurable under county liability coverage.

The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive.
Other duties may be required and assigned.
- Opens criminal case electronic files and processes intake documents and reports for new cases; retrieves court documents, reports and warrants; manages electronic contact records for defendants and law enforcement.
- Processes and routes reports, warrants and other various requests or paperwork from law enforcement agencies for investigations and criminal matters
- Processes and chronologically indexes imaged documents and maintains electronic and hard-copy files and filing systems through use of web-based and network-based sites.
- Produces case documents, including but not limited to trial information, motions, responses, appearances, proposed orders and county attorney subpoenas and e-files with court as needed.
- Prepares general correspondence as requested.
- Performs general clerical duties such as photocopying, e-filing, filing, faxing, typing, and making deliveries.
- Shares mail duties and assists with telephone answering; responds to questions from callers and walk-ins seeking assistance or information.
- Performs duties of a Secretary I as needed.
- Participates in training/educational opportunities and work-related meetings as required.
- Performs all work duties and activities in accordance with County policies, procedures, collective bargaining contract, and safety practices. ◊ Attends work at the designated place and time.
