POSITION DESCRIPTION
DIRECTOR OF FINANCE AND ADMINISTRATION
HeartLands Conservancy is a leading conservation nonprofit in the St. Louis, Missouri, Metropolitan Area, serving southwestern Illinois. The organization works with landowners, governments, and organizations to conserve our region's land and water resources, restore wildlife habitat, reduce flooding, plan resilient communities, and educate about natural resources. Over the past 30 years, HeartLands Conservancy has conserved 9,000 acres for future generations. The organization operates a $2 million budget and averages 10 staff.
Position Summary
HeartLands Conservancy is seeking a Director of Finance and Administration (DFA) to oversee all aspects of finance/accounting, including payroll, budgeting and financial analysis; as well as information technology, office management, and risk management aspects of the organization. Reporting to the CEO, the DFA will be a key advisor on strategy for achieving the organizational goals of the Board and the CEO. This position will work closely with other staff to support program and fundraising goals.
The successful candidate must be able to work closely with the CEO, the Board, Internal Committee, senior leadership, volunteers, and program staff in a supportive and direct manner. The candidate must have strong interpersonal skills, excellent written and oral communication skills, ability to quickly address and solve problems as they arise, be dependable, and be able to maintain confidentiality of sensitive matters.
Responsibilities
Financial Management:
? Analyze and present financial reports in an accurate and timely manner; clearly communicate monthly, quarterly and annual financial statements; collate financial reporting materials for all donor segments, and oversee all financial operations in a timely manner including project/program and grants accounting, accounts payable, payroll, banking, investments, accounts receivable, all 990 and 1099 applications, and Annual Report filing with the Secretary of State.
? Coordinate and lead the annual audit process, liaise with external auditors and the internal committee of the board of directors; assess any changes necessary.
? Oversee and lead annual budgeting process in conjunction with the CEO; administer and review all financial plans and budgets; monitor progress and changes; and keep senior leadership abreast of the organization's financial status.
? Manage organizational cash flow and forecasting.
? Implement a robust contracts/grants management and financial management/ reporting system; ensure adherence to contract billing and collection schedule.
? Track/audit all projects on a monthly basis in coordination with project managers.
? Update and implement all necessary business policies and accounting practices; improve the organization's overall financial policy and procedures manual.
? Effectively communicate and present the critical financial matters to the CEO and board of directors.
? Oversee and lead the organization's negotiation of Federal Indirect Cost Rate proposal with the Department of Interior.
? Establish systems and procedures of accountability, as well as analysis, tracking, reporting and forecasting of financial metrics.
? Ensure timeliness, accuracy, and usefulness of financial and management reporting for funders and Board of Directors.
Information Technology, Human Resources, and Office Management:
? Further develop HeartLands Conservancy's human resources and administration, enhancing professional development, compensation and benefits, training, and recruiting.
? Oversee administrative functions and facilities to ensure efficient and consistent operations as the organization scales.
? Coordinate with IT Contractors on computing and server needs, including daily server backup and maintaining email domain profile.
? Prepare payroll in accordance with the employee policies and benefits and coordinate with payroll contractor.
? Work with the CEO to evaluate and research employee benefit offerings and make recommendations on changes or updates to the Internal Committee.
? Work closely and transparently with all external partners including third-party vendors and consultants.
? Maintain and analyze all leases and insurance policies.
Other duties:
? Requires occasional attendance at events on evenings/weekends.
? Requires attendance at quarterly board meetings, or as directed by the CEO.
? Other duties as necessary to ensure operations and finances function effectively.
Qualifications and Experience
? Bachelor's Degree in accounting (or related field) required, ideally with an MBA/CPA or related degree.
? 5+ years of overall professional experience; ideally five-plus years of broad financial and operations management experience.
? Advanced accounting and finance skills essential; nonprofit experience highly preferred, particularly grants management or fund accounting.
? The ideal candidate has experience of final responsibility for the quality and content of all financial data, reporting, and audit coordination.
? Knowledge of accounting software, and proficient with Excel and Microsoft Word.
? Personal qualities of integrity, credibility, dependability, and dedication to the mission of HeartLands Conservancy.
? Self-starter with skill to work well under pressure, manage multiple projects simultaneously and meet deadlines.
Salary range: $45,000 - $49,000 annually (32-hour work week)
Benefits: HeartLands Conservancy offers ten paid holidays, paid time off, and participation in a SIMPLE IRA, with a 3% salary match, after one year of employment. Employees are reimbursed for health and dental insurance premiums up to $450 per month.

This job operates in a professional office environment. The role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, fax machines, and postage meter.
Physical Demands: While performing the duties of this job, the employee is regularly required to talk and hear. This position requires the ability to occasionally lift office products and supplies, up to 30 pounds. Long periods of sitting required. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
