POSITION DESCRIPTION
The Herbert Wertheim College of Medicine is currently seeking a Coordinator of Administrative Services to join our team of professionals.
Duties include:
- Oversees the administrative functions for assigned management leads within the Department of Humanities, Health and Society (HHS). Facilitates workflow for the office and provides follow-up on pending actions. Manages payroll time entries for assigned faculty.
- Serves as liaison and coordinator between HHS, and the Panther180 manager at HWCOM. Trains incoming HHS faculty on Panther180 and is in charge of its maintenance by generating reports, evaluations, processes, and promotions.
- Maintenance of Zotero libraries (research activity database), collecting and maintaining CITI training certificates, obtaining necessary licenses, and assisting with volunteer paperwork for the Person of Interest Process.
- Works closely with the Director of Academic Support Services on research activities such as recruiting, screening, consenting, reimbursement, etc. with research participants who have or will participate in IRB and grant-related projects.
- Responsible for department's gift card process for research related activities, in collaboration with the HHS Assistant Director of Finance, which includes purchase requests, distribution logs, and monthly reconciliation forms. Handles gift cards as needed.
- Composes, edits and processes proposals, reports and other documents requested by faculty. Facilitates the planning and coordination of functions and meetings and monitors deadlines and ensures compliance with them.
- Serves as liaison between faculty and other members of HWCOM, students, and other organizations as appropriate. Maintains a high level of public relations when representing the office.
- Performs other related duties as required or directed. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
MINIMUM QUALIFICATIONS
Bachelor's degree and two (2) years of office or related experience providing administrative support, or coordinating functions of an office or department.
DESIRED QUALIFICATIONS
Previous experience in academia and/or healthcare environment preferred.
